Adapt this workflow aid to your carrier, customer and goods. It is not a complete compliance checklist. Your team still needs to confirm that entered information matches the shipment.

Nine checks for the desk

  1. Match the shipment to the order.Check that the shipment identifier and consignee belong to the intended order.
  2. Review both ends of the trip.Check ship-from and ship-to details against the source records for this shipment.
  3. Check customer references.Confirm the references required for that customer, such as a purchase order number.
  4. Check applicable carrier references.Confirm a PRO number when one is already assigned and required at this stage. Do not assume every shipment needs one before pickup.
  5. Compare the shipment contents.Review descriptions, quantities, units, packaging and weights against the source records.
  6. Route special requirements to the right person.Identify additional carrier, customer or regulated-goods requirements that need review.
  7. Resolve blocking omissions.Fill missing required fields before issuing documents. Record the reason for any permitted warning acknowledgment.
  8. Review the generated documents.Compare the BOL and supporting paperwork with the intended shipment before using them.
  9. Keep the issued record.Retain the documents and a record of subsequent corrections or voids.
